FDA MDR, EU Vigilance and Medical Device Recall Workflows
An adverse-event report and a field action answer different regulatory and operational questions. FDA Medical Device Reporting, EU vigilance and recall or correction activities can overlap, but one decision does not automatically resolve all the others. Define the markets, responsible roles and escalation route when the information first arrives.
Document the reporting assessment
Preserve the event facts, when information became available and the device identity. Assess the applicable reporting pathway for the organization’s role and jurisdiction, using current requirements and a documented rationale. Keep requests for additional information and submission records linked to the case. Do not wait for a complete technical investigation if applicable reporting obligations require earlier action.
Plan field action separately
Assess affected configurations and distribution, health-hazard information and the scope of the proposed correction or removal. Assign communication, response tracking and reconciliation responsibilities. Record how action effectiveness will be checked and what information is required for the relevant authorities. FDA distinguishes adverse-event reporting under Part 803 from corrections and removals under Part 806.
Practical checklist
Identify jurisdictions and responsible entities.
Record awareness dates and event facts.
Document reportability and field-action decisions.
Track submissions, updates and communications.
Assess response and action effectiveness.
Example
A device malfunction may prompt an adverse-event reporting assessment and an investigation into whether distributed product needs correction. The team should track both decisions with linked records instead of treating the initial report as closure of the issue.
Common mistakes
Avoid using a single generic deadline for every event, jurisdiction or company role. Verify the applicable timeline and escalation process; the reporting workflow should function while investigations continue.
Choose the relevant A.P. Lyon documents
Use FDA MDR documentation for U.S. reportability evaluation, electronic submission and associated records.
Use vigilance documentation for EU serious-incident and field-safety corrective-action assessment.
Use remedial action and recall documentation for affected distribution, action planning, communication and effectiveness tracking.
Review the product page, document previews and any content list before choosing. Adapt the selected documents to your device, processes and applicable requirements; the organization must generate and review its own implementation evidence.
